Mailbox Rental Agreement

Below is the current agreement of company policies all box holders must adhere to in order to maintain a mailbox at The Mail Cache (also known as TMC, Inc). By continuing service with The Mail Cache, all box holders agree to the policies listed below. Failure to follow this agreement can result in the immediate closure of the mailbox, returning of all mail, and no refunds on already paid services.

GENERAL POLICIE

  1. There are no refunds or exchanges on any mailbox services, except for remaining Postage Deposit balances of $2.00 or more.
  2. Along with the policies outlined in this agreement, all customers are required to follow any staff instructions or procedures posted on or around the building, or given verbally. Customers agree to act in a courteous manner to other patrons and staff. Verbal and/or physical attacks, as well as blatant disregard for company policies, will not be tolerated. Failure to comply directly violates The Mail Cache Mailbox Rental Agreement and can result in mailboxes being closed without refund.
  3. The Mail Cache reserves the right to refuse service to anyone.
  4. The Mail Cache Mailbox Rental Agreement is a fluid document and subject to change. Box holders are responsible for staying up to date on any changes that occur to policies and/or this agreement. The most current version of this agreement can be found on www.mailcache.com.

MAILBOXES

  1. To open a mailbox and receive mail at The Mail Cache, all customers over the age of 18 must fill out a USPS Postal Form 1583, sign The Mail Cache Mailbox Rental Agreement, present 2 forms of proper identification, and have a verifiable physical address.
    1. Failure to have a valid USPS Postal Form 1583 on file will result in that person’s mail being refused and returned to the sender, as per USPS regulations. The Mail Cache cannot accept social security cards, birth certificates or credit/debit cards as identification, as per USPS regulations.
  2. The basic mailbox is $22 a month or $220 a year. This size box allows two last names/business names and can receive up to 25 packages per month.
  3. The medium mailbox is $33 a month or $330 a year. This size box allows five last names/business names and can receive up to 35 packages per month.
  4. The large mailbox is $55 a month or $550 a year. This size box allows ten last names/business names and can receive up to 55 packages per month.
  5. There is a one opening fee of $15. Included in this opening fee is access to two mailbox keys. 
  6. Additional keys can be purchased for $10 by customers at the front counter.
  7. Changing the mailbox lock costs $20.
  8. All fees are subject to change at The Mail Cache’s discretion.
  9. All services and fees must be paid in full in order to remain in good standing and to receive mail. Any mailbox that is overdue for five days or more will be blocked and mail will not be distributed until payment-in-full has been received.
    1. All mailboxes that are overdue by five days or more will incur a $2 per week late fee. The first late fee will be levied on the 5th day of coming due. The second late fee will be levied on the 7th day of being due, and all future late fees will be levied every 7 days after the previous late fee.
  10. All customers with mailboxes in good standing may call The Mail Cache during normal business hours to find out what mail is in their box.
  11. One email address per person can be registered to receive notices about mailbox services and package arrivals.
  12. All customers picking up their mail in-store must use their key or they will incur a $2 keyless fee for mail pickup at the counter. Only customers who have signed a USPS Postal Form 1583 may pick up the mail over the counter without a key.
  13. Failure to pay any fees will result in an adjustment to the mailboxes due date to offset the unpaid fee.
  14. All mailboxes that exceed their allotted amount of packages per month will pay a $10 fee for the next 10 packages.
  15. All packages weighing over 70 pounds or sizing over 108 inches (length + girth) will incur a $10 oversize fee.
  16. To remove a name from a mailbox, either the name holder must contact The Mail Cache to remove themselves from the box, or the mailbox primary account holder must fill out and sign a form to remove a non-primary member of the mailbox.
  17. Customers are responsible for ensuring their correct address and mailbox number is on all incoming mail. Failure to do so can result in a delivery delay or in the mail being returned to the sender.
  18. Customers may register a credit card on file with The Mail Cache to facilitate the charging of mailbox services, either automatically or specifically when contacted by the card holder. Any credit cards set-up for automatic payments will be charged the day service comes due. Automatic credit card charges for mailboxes will continue to be charged until the customer has notified The Mail Cache via email or hardcopy letter to change their credit card preferences.
  19. It is the responsibility of the box holder to alert The Mail Cache via email or in person when they are ready to terminate service and close their mailbox.
    1. Customers may request to have their mailbox closed and all first class mail only forwarded away to one address for six months following the closure of the mailbox. This service is a flat fee of $100 and must be paid prior to the box being closed. This service must be set up by the box holder before the box has gone overdue. Any non first class mail, including packages, will be returned to the sender.
  20. If never notified, The Mail Cache will keep mailboxes open for six months after they have come due. All mailboxes that are overdue by six months or more will be closed in poor standing and all mail will be returned to the sender.
    1. Customers wanting to reopen a mailbox after having a mailbox that was closed in poor standing will be subject to a $115 reopen.
    2. Once a mailbox has been closed, all mail that comes in afterwards will immediately be returned to the sender.
  21. The Post Office does not allow Postal Change of Address Forms to be submitted when trying to forward mail away from The Mail Cache to a new location. Mailbox holders must contact their correspondents directly to notify them of their new addresses.

DRIVE-THRU

  1. The drive-thru service is an additional $2 per month or $10 per year. Mailboxes must be paid in full and in good standing in order to receive mail at the drive-thru.
  2. Drive-thru customers will drive up and scan their drive-thru token in order to receive their mail. 
  3. Drive-thru tokens can be laminated for a fee of $5.00
  4. The Mail Cache is not liable if the mailbox holders give their drive-thru tokens to someone who uses it to pick-up mail with or without the mailbox holder’s approval. 
  5. Drive-thru tokens can be regenerated for a fresh code if stolen or tampered with. The cost to regenerate a drive-thru token is $5.00

FORWARDING

  1. The forwarding service is an additional $12 per month plus the cost of postage to physically send all requested mail to the box holder (known as Postage Deposit). All fees and postage must be paid in full before a forwarding request will be completed.
    1. Any customer paying a Postage Deposit with a credit card will incur a 6% credit card fee deducted from the amount they are depositing.
  2. Customers must use the Online Mail Forwarding Form, or email sales@mailcache.com to submit forwarding requests.
    1. Customers who cannot submit the form online or email may call to request their mail be forwarded. The Mail Cache is not responsible for any mis-forwarded mail from phone orders, or from incorrect information provided via email or the online form.
    2. Customers must contact The Mail Cache by 1:00 pm (Alaska Time) Monday-Friday to have the mail sent out on the same day. Otherwise, mail will be forwarded the following business day. All requests received on the weekends will not be forwarded until the following Monday.
